2021 PMI Southern Maryland Board of Directors Open Positions


General Board Duties and Responsibilities:

 

  1. Be a member in good standing of PMI Southern Maryland Chapter.

  2. Attend BOD meetings (transition event, strategy planning session, monthly meetings).

  3. Know and fulfill position duties as outlined in the Chapter Bylaws and Standing Rules.

  4. Keep accurate documented records of activities throughout the year.

  5. Manage/monitor/review assigned budget areas.

  6. Ensure all records and documents are kept up-to-date in the Chapter Document Repository.

  7. Conduct a turnover and provide all records to a successor.

Position Primary Duties and Responsibilities:

2-year positions (Jan 2021 – Dec 2022)

President

  • The PRESIDENT shall be the chief executive officer for the PMI SOMD CHAPTER and of the Board, and shall perform such duties as are customary for presiding officers, including making all required appointments with the approval of the Board. The PRESIDENT shall also serve as a member exofficio with the right to participate and vote on all committees except the Nominating Committee.

Vice President

  • The VICE PRESIDENT/CHIEF OPERATING OFFICER shall assume the responsibilities of the
    PRESIDENT in the event of the PRESIDENT’S inability to carry out his/her duties. He/She will also serve as a member of the Core Leadership Team. Under normal circumstances it is expected that the VICE PRESIDENT/CHIEF OPERATING OFFICER succeed the PRESIDENT subject to the nomination and election processes defined in the Chapter Bylaws. This position shall report directly to the PRESIDENT.

Assistant Vice President

  • The ASSISTANT VICE PRESIDENT/CHIEF OPERATING OFFICER shall assume the responsibilities of the VICE PRESIDENT/CHIEF OPERATING OFFICER in the event of the VICE PRESIDENT/CHIEF OPERATING OFFICER’S inability to carry out his/her duties. He/She will also serve as a member of the Core Leadership Team. Under normal circumstances it is expected that the ASSISTANT VICE PRESIDENT/CHIEF OPERATING OFFICER succeed the VICE PRESIDENT/CHIEF OPERATING OFFICER subject to the nomination and election processes defined in the Chapter Bylaws. This position shall report directly to the VICE PRESIDENT/CHIEF OPERATING OFFICER.

Vice President for Membership and Community Involvement

  • The VICE PRESIDENT OF MEMBERSHIP & COMMUNITY INVOLVEMENT shall serve as a member of the Chapter’s Core Leadership Team. This position shall report directly to the PRESIDENT.

Assistant Vice President for Membership and Community Involvement

  • The ASSISTANT VICE PRESIDENT OFMEMBERSHIP & COMMUNITY INVOLVEMENT shall assume the responsibilities of the VICE PRESIDENT OFMEMBERSHIP & COMMUNITY INVOLVEMENT in the event of the VICE PRESIDENT OFMEMBERSHIP & COMMUNITY INVOLVEMENT’S inability to carry out his/her duties. Assistant Vice President of Finance

  • The ASSISTANT VICE PRESIDENT OF FINANCE shall assume the responsibilities of the VICE PRESIDENT OF FINANCE in the event of the VICE PRESIDENT OF FINANCE’S inability to carry out his/her duties. He/She will also serve as a member of the Core Leadership Team. Under normal circumstances it is expected that the ASSISTANT VICE PRESIDENT OF FINANCE succeed the VICE PRESIDENT OF FINANCE subject to the nomination and election processes defined in the Chapter Bylaws. This position reports directly to the VICE PRESIDENT OF FINANCE.

Vice President of Administration / CAO

  • The Vice President of Administration / CAO shall operate as a member of the Board of Directors and keep the records of all business meetings of PMI SOMD CHAPTER and meetings of the Board. This position reports directly to the PRESIDENT.


1-year positions (Jan 2021 – Dec 2021)

Director of Operations for Website and Content Management

    1. Overall responsibility for Chapter website and content management - Front-end content integrity and Back-end transaction processing;

    2. Works very closely with the Director of Operations for Communications to promote Chapter communications, as well as with the Director of Operations for Programs/Events to ensure all program/event schedules and registration requirements information is kept up to date;

    3. Facilitates VP and Director training session for website updates and how to use the Chapter Administration and Document Repository site;

    4. Works with Proteon (web site host) to facilitate changes;

    5. Maintains and monitors Admin access;

    6. Facilitates email blasts to members.

Director of Operations for Communications

    1. Prepare an annual Component Communications Plan, and submit that plan to the PMI SoMD Vice President/Chief Operations Officer and Board of Directors;

    2. Work very closely with the Director of Operations for Website and Content Management to promote communications via the Chapter Website;

    3. Prepare and distribute other Component publications;

    4. Manage the chapter’s public relations; promote PMI SoMD events to the media and other organizations;

    5. Provide community relations support to other Component Officers as needed to adequately advertise and promote Component activities.

Director of Operations for Education and Certification

    1. Prepare an annual education seminar and workshop plan and present the plan to the PMI SoMD Vice President/Chief Operations Officer and the Board of directors;

    2. Serve as the Registered Education Provider (REP) contact for the chapter;

    3. Promote PMP certification within the organization and provide guidance where necessary to other individuals for exam preparation;

    4. Plan, execute and promote classes that provide preparation to PMP (or other PMI certifications) candidates to pass the certification test;

    5. Identify and procure educational workshops of specific member interest to promote ongoing professional development among project managers;

    6. Plan, execute and promote regular educational workshop offerings to further the project management discipline in the Southern MD area;

    7. Provide input to the chapter newsletter and web site for education and certification events.

Director of Operations for Programs and Events

    1. Prepare an annual plan for Component Programs/Events (e.g., luncheons, County chapter speaker events, workshops, seminars) and submit to PMI SoMD Vice President/Chief Operations Officer and Board of Directors;

    2. Prepare an annual budget for Programs/Events needs and submit to the Vice President of Finance as requested;

    3. Prepare and submit a report to the PMI SoMD Vice President/Chief Operations Officer summarizing the effectiveness of events and lessons learned for future events following each Component meeting, to include financial and attendance results;

    4. Work with assigned Special Event Coordinators to plan and execute event activities to include speakers, Audio/Visual equipment, meeting rooms, catering, etc.;

    5. Provide input to chapter Director of Operations for Website and Content Management for posting events to the chapter website. 

Director of Operations for Volunteerism

    1. Be responsible for all matters related to the recruitment, coordination and recognition of volunteers supporting PMI SoMD Chapter activities;

    2. Develop and maintain a cumulative and current list of active volunteers;

    3. Track volunteer’s hours of contribution to ensure they meet PDU requirements;

    4. Survey volunteers to gather data to match volunteers with appropriate volunteer opportunities;

    5. Plan a volunteer recognition event(s). This event can be held in conjunction with regular programs or separate just for volunteers;

    6. Document and coordinate activities of any approved volunteer position;

    7. Create and maintain job descriptions for all Chapter Officers and update as needed/requested.
       

Members at Large (5 Positions)

      1. Support Chapter events and activities to successfully achieve the Board’s annual strategic goals and objectives;

      2. Lead and chair committees (if assigned) for Special Projects as approved by the Board of Directors;

      3. Recruit committee members, develop a charter for the special project to be approved by the Board of Directors, conduct committee meetings, compile Lessons Learned and incorporate into planning efforts for current year; provide Project Final Report to Board of Directors;

      4. Ensure all project–related records and documents are kept up-to-date in the Chapter Document Repository.
